The price comes from the process, not the tool itself.

The fair cost of automation cannot be determined solely by the name of the process. The most important factors are the number of integrated systems, data quality, number of exceptions, security requirements and the consequences of failure.

The first quote should therefore include a clearly described flow and a limited business result, rather than a general declaration "we automate customer service" or "we implement AI".

Two processes performing a similar task may have completely different costs. In one, data is available via a stable API and is subject to simple rules. In the second one, you need to read documents, handle multiple formats, agree on access with suppliers and prepare a path for manual handling of each exception.

One repeatable step

Transferring data, generating a document or sending a notification according to clear rules. Little integration and simple error handling.

Decisions with significant consequences, sensitive data or model output that need to be evaluated. Testing, inspection and operational requirements are increasing.

A good first scope is a part of the process that produces a measurable result, but does not require a simultaneous reconstruction of the entire environment. This allows you to validate data and integrations before extending the solution.

First, calculate the cost of your current way of working.

Employee time alone is not the only benefit, but it provides a useful point of reference. To calculate, you need the number of operations, average handling time, full cost per hour of work and error rate.

The net benefit should take into account the maintenance of automation and the time needed for exceptions. You should not assume that one hundred percent of the time saved will immediately turn into financial savings.
